Jared and Jackie provide a demonstration of how to fill out forms on the parent website. They also discuss downloading the Camp Ramaquois app, ordering clothing, and completing medical forms!
Hi, everyone, and welcome back to this week’s video. We’re so excited to be able to talk to you again after taking a one week hiatus. This week, we’re going to do something a little bit different. Instead of answering some of the questions that you’ve been sending to us, we’re going to go over the process and the procedures that you need to follow in order to fill out all the required forms for campers to come to Ramaquois this summer. It’s not the most exciting thing to talk about, but it’s the most important thing to be able to have a really great, fun and safe summer. As usual. We are going to be as transparent with you as we can, and we’re going to give you all the information that we have available to us. Now, remember that we are still waiting for updates to the New York State Guidelines for operating summer camps for children, and as soon as we get that information, we’ll give you all the updates that we have. Until then, we’ll continue to give you the best information that we have available to you at this time. My name is Jared for those who don’t know or haven’t watched previous videos. And I’m one of the directors here, and I’m very happy to be joined as always by my friend and colleague Jackie Port.

And we’re going to move forward and talk about some of the things that you need to do to get ready for camp this summer so that we can welcome your children with proverbial open arms and as excited as possible for camp to start. I hope you’re as excited as we are because we really can hardly wait for camp to be here. So, Jackie, are you ready?
I am ready.
Okay. I think I’m ready too. So let’s get started.
The best way to get started is to sign on to our parent website. In a moment, Jared is going to be sharing his screen, so he’s going to walk through us as I speak. He will do it on the website with us. So what you need to do is go to www. ramaquois.com/parent. You can skip the www. Your page will look exactly like this. We have created a camper named Jane Doe to help us with this presentation. If you have more than one camper, each camper’s name will be listed.
So if Jane had a brother, John, John Doe would be the second name under Jane, you will need to fill out forms for each of your campers. So we’ll start with Jane.
The first thing you do is click on the camper’s name and you’ll see all these forms that pop up for them here.
Exactly. So you’ll see there’s a camper code of behavior, a transportation form, health history form, personality profile, all of these, everything on this page is required. We’re going to start going through the camper medical form because that one is really important because that allows us to have the information we need to take the best care of your camper medically and physically. The Camper Medical form is the only form that needs to be downloaded, printed, and completed by a physician. All of the other forms will be completed by you online. It looks overwhelming a little bit, but it’s not. The form should probably take you about ten minutes. The personality profile perhaps a few minutes longer, depending upon what information you want to share. But the Camper Medical Form, which is on the screen right now, it is available for download, and the physician needs to complete it and sign it .Something that’s very important, a lot of the medical practices provide a universal health form, which means it’s a form that they give to every family that family can use for whatever medical information is required by activities, schools, camps, et cetera. The problem is that nine and a half times out of ten, that form does not include the physician’s authorization for our nurses to administer over the counter medication. So therefore, our Camper medical form is still required to be completed by the physician and submitted to Ramaquois. You are more than welcome to attach that to the universal health form that the practices the doctor’s offices provide. But you do need to have this form you’ll see on the top. It says required section. It’s highlighted in yellow. We tried to make it as easy and obvious as possible, but that section is required. By definition Over the Counter drugs do not need prescription. However, the reason we need this is because the license that our nurses hold requires them to have authorization from a physician. So it’s not a prescription. It is just authorization for our nurses to dispense the medication. If your child needs medication, the nurses are going to make every effort to reach you before dispensing it. But regardless, they need this authorization on file. So please make sure that this page is completed and signed by your physician. The easiest way is after that happens to please upload it to the parent website. And if not, there are other instructions on here about how you can submit it to us.
So that’s the part that is completed by a physician. But there’s also a form in which we ask parents to provide a camper health history, and you would see that right here. So when you click on that link, you’ll be able to complete all the fields online. And again, you’ll fill them out all here. And when you’re done, you’ll be able to submit that form and that will come directly to us.
And on that form, it is very important to please we ask for emergency contacts. Every effort is always made to reach both parents first or guardians first. But it is actually very important to also have a non family member as an emergency contact. So when you’re filling it out, please don’t put mom as emergency contact one and dad as emergency contact two. We get it. We’re going to try and reach you first, but we really do need non family members as a backup.
We’ll also be asking you to fill out some other forms. One is a camper code of behavior, and it goes over some of the rules. We would really strongly encourage that you go over this with your child before signing it electronically. We ask for a camper signature. Obviously it’s an electronic one, and we also ask for the parent or guardian to complete that as well. Additionally, we have personality profile and a transportation form, and we’ll also be asking you to upload a new profile picture. You’ll know, if you completed the form, if you started it’ll, give you this notification here that it’s in progress. If you haven’t started. It will tell you that as well. And once you complete the form, it will tell you here that the form has been completed or received. So it should never be a question as to whether you submitted it or not. You can always call us and contact us to follow up. If there was something that perhaps you submitted an error or something you’d like to change, feel free to reach out to us, and we’ll be happy to assist you with that at any time.
I think it’s also important, Jackie, we should mention to everybody that we are going to be using this site throughout the summer for some really important things too. And I mentioned before about photos being uploaded. We’re very proud of the fact that on a normal camp day, we try to upload anywhere from 800 to 1000 camper photos each day for parents to view. After the camp day, we post daily videos here for parents to view. So the Ramaquois parent site for those that haven’t been with us before, this is really the portal through which you will receive lots of information and just have the ability to really get regular communication from us on a daily basis, particularly during the camp season. And this information mostly will be found on the Ramaquois app, which you can download for Android or for iPhone that is available as well, and you’ll be able to view the photos on your phone or tablet through the app as well.
And also the parent website, obviously it has a functional purpose, which is a lot of what we’re focusing on today, but it also has another purpose, and it’s our way of bringing the parents into our community during the summer. So their daily announcements will tell you about special events. If there’s a themed day for your child’s division where one day they can wear their favorite color to camp that day instead of their uniform or something like that. All of that is communicated through the parent website, and we also try and give you little nuggets where you can get your children talking about camp at home.
So it might be that Freshmen 3 had a great time at gymnastics today. They learned how to do a forward role. And then at dinner you can ask your daughter who would be in first grade. How is gymnastics today? So it’s a way to bring you into the community. So as much as it’s functional for all this housekeeping type of a thing, it is also your lifeline to be part of the Ramaquois family during the summer, and I think it’s really important.
Yeah, for sure. But we would really appreciate if you could get these forms done by May 1. It allows us to be as organized as possible and to do all the necessary preparations for the upcoming camp season. We understand that the medical forums might be a little bit challenging if you need to get an appointment through your physician or need to be able to bring the form to have that completed by the physician or his or her office. We understand it takes a little time. So we’re really asking for you to get started on this as soon as possible because it really helps us the sooner we have the information, the better prepared we can be to be able to put together an exceptional camp season.
Absolutely.
Now, Jackie, I know we talked about this in one of our previous videos, but in the email that our families received asking them to fill these forms out. We also have asked them to begin if they haven’t already begin to order their clothing for camp. So maybe we should take a moment to just show that to them as well.
Absolutely. So while we’re bringing up that page, there are two ways to get to the page. Amerasport A-M-E-R-A SPORT, all, one word dot com or Ramaquois.com/clothing. That will make it easy, and it brings you as you can see right to our page. So you will see on the top there’s a Navy blue line underneath above the first picture, and it will say Junior Camp, Girls’ Side, Boys’ Side, coed apparel, complementary shirts and decals and stickers. So the best place to start is probably with the complimentary shirts. We went over this before. Two T shirts are included with your tuition. The website describes what shirt your child needs based on where they are in camp. Junior camp is gold. Boys’ Side, Second through 6th grade, wears navy, 7th through 10th wears gray with a light blue logo and then the caps have their own T shirts. It’s very clear on the website. This is where you should start. Put two of whatever shirts your child is expected to have into your shopping cart and then you can go back to the top and you can click over to the Girls’ Side, Boys’ Side or Coed apparel, and you are more than welcome to purchase any additional apparel items.
We never think there’s such thing as having too many Ramaquoi clothes. The children wear them all year round. They’re great birthday presents. They’re a great holiday presents. So please feel free to certainly add to your order anything that you would like to purchase, and you can put them all together. You can place the order together with your complimentary shirts. We pay for the first two shirts you pay for the rest of your apparel and the shipping. It’s very easy. I actually just placed my order last night. I wanted a few extra things, so Ramaquois Swag is really fun to have.
And there’s no such thing as too much of it. Never. But just to reiterate it is important. Even if you’re only interested in receiving the complimentary shirts and don’t wish to purchase additional items, you still need to place that order through this website. And we would really strongly encourage everybody to do this much sooner than later, because if there’s any kind of problem with sizing or perhaps that you accidentally ordered the wrong color or the wrong shirt, it gives you ample time to be able to correct that prior to the camp season starting. It allows our vendor, who works extremely hard and does an exceptional job, allows them to help you in the best way possible.
And I just want to just mention we did say it on a previous video. You will be asked for a credit card just because Amerasport’s platform only knows how to take an order with payment. But if you’re only ordering the complimentary T shirts, the credit card will not be used. It will be removed before the shipping of your items and the shipping fee will be removed. Also, if you’re only ordering the two complementary shirts.
I would also add, I’ve gotten this question recently and I think it’s important to add. So the question was, if my child is in junior camp as an example, does he or she needs to wear the gold shirt every day because I saw some other cool stuff there too. So the answer to that is the gold shirt is the required uniform. But if on occasion you would like to have them wear, let’s say a tank top or one of these alternate jerseys or something. You can certainly do that as well. We want everybody to be able to not only have this apparel, to be able to wear it at camp on occasion, if they would like to do that as well.

So just a reminder. I mentioned a little earlier in the video about the Ramaquois app. We would really encourage you to take a look at that sooner than later. This is the same app that we’ll be using for daily health screenings during the summer. We’ll talk about that a little bit later, but you may want to go ahead now and take a look at that app. You can download it from Google Play for Androids, and you could certainly go to the Apple Store if you have an iPhone or iPad or something from the I family and download it from there. Just go to the store. Look for Camp Ramaquois app. You’ll see the logo and download it for free. So we’re very excited about that. And again, during the camp season, you’re really going to want to have this, especially if you are someone that really likes to view the photos and videos that we post to the parent site. We’re so grateful for everybody participating and taking the time to watch this video.
